Meeting Minutes

      Call to order

      Roll call

• The following persons were present:

·        Jennifer Timmons, President

·        Tom Miller, Vice-President

·        Steve Nieberding, Secretary

·        Kelley Selph, ESRC member at large

IIApproval of minutes from last meeting

• Last meeting minutes were approved and posted on the ESRC myesc.org web site.

I  Minutes

a)      We discussed the main reasons why members joined ESRC which will be applied towards plans for 2009 year

·        Communication on upcoming races and race results

·        Participate in group runs

·        Non runners who not only support their spouses or significant others participating in races but also seeking a social outlet

b)      We discussed that members do not know ESRC financial status

·        Post budget onto web site

·        Post donations on behalf of ESRC onto web site

o       Donated to Mid-Shore YMCA for their Pump and Run event

c)      We discussed incentives in order to encourage more race officiating volunteers

·        Members receive $5 off their 2010 membership for each race they help up to membership maximum

d)      Kelley presented his feedback from other runners and new members over lack of communication

·        Suggested using Yahoo groups in order to promote communication among members for group runs and race preparation

·        Provided the following suggestive group run locations

o       Trails in the back of the Henry S. Parker Athletic Complex on Naylor Mill Road

o       Fooks Road and Twilley Bridge Road new Salisbury airport

o       Pemberton Park

e)      Discuss publicity for ESRC

·        We investigate setting up a booth at the next Health Expo at Wicomico Youth and Civic Center

·        PAC 14 Free Fridays

o       Station allows non-profits to come in for an hour to produce a 30-minute segment for free. 

§         Non-profits can use once a quarter 

§         Dec 15^th – can become trained to be a producer

§         ESRC would need to provide the interviewer, interviewer, and the subject matter for the discussion

f)        Discuss membership incentives and pricing model

·        Agreed that World Gym membership incentives wouldn’t attract membership even with obtaining a corporate membership discount

·        Yahoo group participation

·        Allow members to provide suggestions over ESRC logo merchandise to be given to members

o       Determine by March 31^st

·        Provide volunteer incentives

• $5 reduction off 2010 membership dues per each race

o       Volunteer of the Quarter will receive a gift card

·        $10 per member

o       reduced from $20 per member

o       no discount on family members (each person in a family household wanting to join would  pay $10)

o       Each member will be required to complete an application which includes the waiver clause.

·        Consider asking Harlan if we can access SU track for group runs

a)      Board Members agree on ESRC 2009 membership benefits during next ESRC board meeting on Dec 18^th.

b)      Steve Nieberding

·        Post budget and donations onto web site

·        Investigate cost of race chips to use for race timing services

·        Investigate whether we can securely post members contact info on web site

·        Investigate where to hold end of year xmas party

·        Implement use of Yahoo groups

·        Arrange for PAC-14 publicity

·        Arrange for booth at Health Expo
